Apollo Engineering Consultants Limited (Apollo) uses personal information solely to invite people to, and organise, its events. We do not use information provided through this invitation platform for marketing.

What information we use

We may use your name, email address, organisation, role, invitation and RSVP status, and any optional information you supply about additional guests, dietary or accessibility requirements, or transport (which may include an address and telephone number). Your contact details may have been supplied by an Apollo event organiser or someone recommending you for an invitation.

Why we use it

We use this information to send invitations, manage RSVPs, communicate event-related information and make practical arrangements, such as catering and transport. For ordinary event administration, our lawful basis is our legitimate interests in organising and managing Apollo events (UK GDPR Article 6(1)(f)).

Providing optional details is your choice. Where dietary or accessibility details reveal health or other sensitive information, we rely on your explicit consent under UK GDPR Article 9(2)(a) to use those details for event arrangements. You can withdraw that consent by contacting us, although this may affect arrangements we can make.

Who may receive it

Relevant Apollo event organisers and service providers, including Microsoft-hosted systems, may handle your information. We may share necessary details with venues, caterers, transport providers or other suppliers involved in the event. Where information is transferred outside the UK, applicable data protection safeguards are used; contact us for further details.

How long we keep it

We keep information for as long as reasonably needed to organise, deliver and close out the event, and where necessary to meet applicable legal or record-keeping requirements. Information is then deleted or anonymised as appropriate.

Your rights and contact details

Depending on the circumstances, you may ask to access, correct or erase your personal information, or restrict its use. You may withdraw consent for optional sensitive details at any time.

Your right to object: You can object to our use of your information where we rely on legitimate interests.
